Storing emails in a scalable document management system reduces the burden on email servers, and tranforms email from an isolated knowledge source, visible only to the person to whom it is addressed, into an asset that can be shared across offices, easily, securely and by project.
With Rapport 3 Document Mangement System (DMS), managing emails couldn't be simpler or more effective. This is because Rapport 3 DMS and the Exchange Server are intrinsically inter-linked. Rules can also be set that send emails directly to 'Sent' or 'Received' folders within project folders allowing them to be viewed easily in chronological order. Duplication can be managed too. If an email has been sent to ten pople within the company, the first person to log the email will register it so if others try to do the same, they will be notified that the action has already been performed. |
